The personal data we collect
We only collect personal data that we need. Depending on how you interact with us, this may include:
- Identity and contact data – your name and email address, when you submit a form on our website, request one of our publications, or contact us directly.
- Booking data – your name, email address and any details you choose to share when you book a conversation with us through our scheduling provider, Calendly.
- Correspondence – the contents of messages you send us, including anything you write in a message field on our website or in an email.
- Technical, usage and analytics data – your IP address, browser type, the pages you visit, and the time and date of your visit. This is collected automatically when you use the website, including through Google Analytics where you have consented to analytics cookies (see “Cookies” below).
We do not knowingly collect personal data from anyone under the age of 18, and our website and services are not directed at children.
How we collect your personal data
- Directly from you – when you complete a form on the website, book a meeting, email us, or work with us as a client.
- Automatically – through cookies, similar technologies and analytics tools (such as Google Analytics) when you browse the website, in line with your cookie choices (see “Cookies” below).
How we use your personal data and our lawful bases
Under UK data protection law (UK GDPR and the Data Protection Act 2018) we must have a lawful basis for every use of your personal data. We use your data as follows:
- To respond to your enquiries and requests – lawful basis: our legitimate interests in responding to the people who contact us.
- To provide our advisory services and manage our relationship with you as a client – lawful basis: performance of a contract with you, or steps taken at your request before entering into one.
- To send you occasional updates, insights or information about our services, where you have asked us to – lawful basis: your consent, which you may withdraw at any time.
- To understand how visitors use our website so we can measure and improve it, using Google Analytics – lawful basis: your consent. Analytics cookies are set only where you have accepted them through our cookie banner, and you may withdraw your consent at any time.
- To operate, secure and improve the website – lawful basis: our legitimate interests in running a safe, effective website.
- To comply with our legal and regulatory obligations, including accounting and record-keeping – lawful basis: legal obligation.
We do not sell your personal data, and we do not use it for targeted advertising or automated decision-making.
Marketing
We will only send you marketing communications if you have opted in to receive them. Every message we send includes a simple way to unsubscribe, and you can also opt out at any time by emailing info@infusion-group.co.uk. Opting out will not affect any other service we provide to you.
Who we share your personal data with
We share personal data only where necessary, and only with:
- Service providers who help us run our business – including our website hosting provider, our email provider, Calendly (our meeting scheduling provider), Mailchimp (our mailing list provider), Google (our website analytics provider, through Google Analytics) and CookieYes (our cookie consent provider). These providers act on our instructions and are bound by contractual duties of confidentiality and data protection.
- Professional advisers – such as our accountants, insurers or lawyers, where necessary.
- Authorities and regulators – where we are required to do so by law, regulation or court order.
We require all third parties to respect the security of your personal data and to treat it in accordance with the law.
International transfers
Some of our service providers (for example Calendly, Mailchimp and Google) are based outside the UK, or may process data outside the UK. Where your personal data is transferred outside the UK, we ensure it is protected by appropriate safeguards recognised under UK law, such as UK adequacy regulations or the International Data Transfer Agreement / standard contractual clauses.
How long we keep your personal data
We keep personal data only for as long as we need it:
- Enquiries – if your enquiry does not lead to us working together, we keep your details for up to 12 months and then delete them.
- Client records – where we work with you, we keep records for the duration of our engagement and for up to 6 years afterwards, in line with legal, accounting and insurance requirements.
- Marketing preferences – until you unsubscribe, after which we keep only what we need to honour your opt-out.
- Analytics data – information collected through Google Analytics is retained in line with our Google Analytics retention settings, after which it is deleted or aggregated.
Data that no longer identifies you personally (for example aggregated website statistics) may be kept for longer.
Your rights
Under UK data protection law you have the right to:
- Access – request a copy of the personal data we hold about you.
- Rectification – ask us to correct inaccurate or incomplete data.
- Erasure – ask us to delete your data in certain circumstances.
- Restriction – ask us to limit how we use your data in certain circumstances.
- Objection – object to processing based on our legitimate interests, and to any direct marketing.
- Portability – receive the data you provided to us in a portable format.
- Withdraw consent – where we rely on your consent, withdraw it at any time.
To exercise any of these rights, email info@infusion-group.co.uk. We will respond within one month. There is no fee unless a request is clearly unfounded or excessive.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113. We would appreciate the chance to address your concerns first, so please do contact us before approaching the ICO.
